Team & workspaces
Your RankMeFast account is a workspace. An invitation grants access only to the sites you choose, or to all current and future sites when you select All sites. You manage members, roles, site access, and pending invites from Settings → Team.
Everything a teammate does inside your workspace is billed to your plan. Their own account keeps its own separate allowance.
Roles
| Role | Can do |
|---|---|
| Owner | Everything, including billing, connections, API keys, and account settings |
| Admin | Product work on assigned sites, plus inviting and removing Members within the Admin's own site access |
| Member | Product work on assigned sites |
"Product work" means audits, rank tracking, reports, keyword research, backlinks, competitors, alerts, and every other feature your plan includes. Only the owner can create, delete, pause, or resume sites.
These stay with the owner and are never available to an admin or a member:
- Billing — plans, credit packs, invoices, and the customer portal
- Google Search Console and Analytics connections
- API keys and MCP permissions
- Data export and account deletion
- White-label branding
If a teammate opens one of these while working in your workspace, they see a short "not available in this workspace" message. Their own account settings are always available to them — those belong to the person, not the workspace.
The team role is separate from any platform Admin role on the RankMeFast staff console. They do not affect each other.
Seats per plan
| Plan | Included seats |
|---|---|
| Starter | 1 |
| Pro | 3 |
| Agency | 15 |
Enterprise starts with 25 seats. An agreement can set a higher finite count, up to 250.
<!-- generated: finite-team-seats:end -->The owner always counts as one seat, and a pending invite reserves a seat as soon as you send it. Current usage is shown at the top of the page (for example, "2 of 3 seats used"). When every seat is taken, the invite form is disabled and an Upgrade plan link appears.
An invite that expires without being accepted releases its seat automatically. It still appears in the list so you can resend it.
Invite a teammate
- Open Settings → Team.
- Under Invite a teammate, enter your colleague's email address.
- Choose Member or Admin, then choose All sites or specific sites.
- Click Send invite.
We email a decision link that is valid for seven days. Invitation links and credentials are never shown to the inviting owner.
Only the owner can invite an Admin. An Admin can invite Members and can grant only sites the Admin can already access.
If the email does not belong to an account yet, RankMeFast creates a provisional account and emails a temporary password. The invitee must replace that password before accepting. The account has no workspace access until the invitation is accepted.
Accept an invite
Open the invitation from the email or the notification bell, sign in with the invited email address, review the role and site access, then choose Accept. The seat changes from Pending to Active, and the workspace appears in your workspace switcher.
- If a different account opens the link, RankMeFast answers "not found". A token can only be redeemed by the address it was sent to.
- If the link has expired, ask the owner or an admin to resend it.
- If the invite was already accepted, opening the link again says so.
You can also choose Reject. The confirmation page does not change anything until you confirm. Rejecting an invitation to an existing account leaves that account untouched. A still-provisional account is deleted after its last pending invitation is rejected, revoked, or expires.
Switch between workspaces
Once you belong to more than one workspace, a workspace picker appears in the top bar. It lists your own workspace first, then every workspace you have joined, each labelled with your role there.
Choosing one reloads the page and puts you inside that workspace. Everything you then do — every site, audit, report, and rank check — belongs to that workspace and draws on its plan. Your choice is remembered the next time you sign in.
To go back, pick your own workspace from the same menu.
Resend a pending invite
- Open Settings → Team.
- Open the ⋯ menu on the pending row.
- Choose Resend invite.
Resending creates new decision links and immediately invalidates the old ones. If the account is still provisional, the email reuses its existing temporary password. Resending never changes the account password.
Change someone's role
Only the owner can change roles or site access. On the member's row, choose Edit access, then set Admin or Member and choose All sites or specific sites. The change applies to their next request.
You can also change the role of a pending invite. The new role applies when they accept.
Ownership cannot be transferred, and the owner's own role cannot be changed.
Remove a teammate or revoke an invite
- Open Settings → Team.
- Open the ⋯ menu on the row.
- Choose Remove for an accepted member, or Revoke invite for a pending one.
Access ends on their very next request — there is no delay and nothing to sign out of. If they are looking at your workspace when you remove them, their next click returns them to their own.
Removing someone frees the seat immediately, so you can invite a replacement straight away. Anything they created stays in the workspace: it was always your data, and the activity log keeps their name against what they did.
A member can also remove themselves, which the menu calls Leave workspace. The owner cannot be removed.
Find someone on a large team
The member list has a search box that matches on email address, and pages through long teams. Searching and paging never change your seat count — that always reflects the whole team.
